Checklist trouwen: alles op een rij

A good wedding checklist does not help you nail everything down, but helps you stay calm. That is also how I look at wedding days. I work documentary style: I direct nothing and stay in the background. Exactly because of that I often see which choices made in advance create more room, less unrest and more real moments on your day.

Use this page as a practical wedding planning checklist in phases. Not as a strict set of rules, but as something to hold on to that moves with what suits you.

The broad lines of this wedding checklist are simple:

  1. First decide what kind of day you want.
  2. Then set down the basics of planning and tasks.
  3. Werk de voorbereiding uit in logische fases.
  4. Controleer de punten die bruidsparen vaak vergeten.
  5. Bewaar onderaan de compacte samenvatting om uit te printen.

How to use this checklist for your day

My advice: do not try to work through this wedding checklist in one go. First read what is relevant, mark what needs attention now and leave the rest for later. That keeps things clear.

Because I work documentary style and stay in the background, I notice on wedding days how pleasant it is when decisions are already clear beforehand. Then you have to switch less on the day itself. That gives room to real moments instead of putting out small fires.

So treat this list as a working document for your day. Use it together, share parts with your master of ceremonies and adapt it to your rhythm.

What to arrange first after your engagement

After your engagement, not everything has to be fixed straight away. It does help to make a few basic choices first that shape many later steps. That is how you build a day that genuinely suits you.

I work documentary style: I direct nothing and stay in the background. That is exactly why I see how important those first choices are. When the basis is right, the rest usually feels more logical and calmer.

Decide what kind of wedding suits you

Before you approach suppliers, it is smart to discuss together what atmosphere you are looking for. Small and intimate, or more extensive? Formal or relaxed? A full programme or plenty of open space?

Denk hierbij aan:

  • the feel of the day
  • het aantal gasten
  • binnen of buiten
  • één locatie of meerdere plekken
  • focus op ceremonie, diner, feest of juist alles samen

These choices determine not only what your day looks like, but also how much room there is for real moments captured documentary style. The better the day suits you, the more naturally everything tends to run.

For venues you are considering, always check the current possibilities, conditions and availability yourself.

Set down the basics of your planning

Once the direction is clear, you set down the main lines. You do not need a minute-by-minute schedule yet. It is about frames first.

Zet in elk geval op papier:

  • een voorlopige gastenlijst bruiloft
  • een budgetkader
  • een globale dagindeling
  • wie welke taak oppakt
  • which wedding suppliers are your priority

That basis makes it easier to test choices against what matters for your day. It prevents you from adopting plans that do not actually fit your pace or wishes.

Checklist trouwen per fase

I recommend using your wedding planning checklist per phase. That usually feels calmer than planning on hard months. Not every couple starts equally early and not every wedding needs the same pace.

Vroeg in de planning

In this phase you take the big decisions that steer many other parts.

Denk aan:

  • datum of periode bepalen
  • trouwlocatie kiezen
  • globale gastenlijst maken
  • stijl en sfeer bespreken
  • eerste leveranciers benaderen
  • ceremonie en feestvorm bespreken
  • getuigen vragen
  • eerste budgetverdeling maken

My tip: start with the choices that have the biggest effect on calm during your day. Suppliers who are involved early often also influence the schedule and how much room is left for real moments.

Midden in de planning

Now you work things out without overfilling the day. That is an important difference. A schedule may be clear, but it does not have to close everything off.

Werk in deze fase aan:

  • trouwkaarten of save the date
  • kleding en accessoires
  • catering en gastencommunicatie
  • tafelschikking in grote lijnen
  • vervoer indien nodig
  • invulling van ceremonie of speeches
  • afstemming tussen leveranciers
  • first version of the wedding day schedule

I work documentary style, so I always watch for elements that help without taking away spontaneity. When everything is clear in advance, suppliers have fewer questions in the moment itself.

Laat in de planning

Shortly before the wedding the focus shifts from choosing to confirming. What you mainly want then is clarity.

Controleer bijvoorbeeld:

  • definitieve tijden
  • adressen en route-info
  • contactpersonen per onderdeel
  • aantallen voor diner of feest
  • final version of the schedule
  • wie de ringen beheert
  • wanneer kleding, boeket of andere spullen klaarstaan

In this phase it helps when a lot of information ends up with one point of contact. That lets suppliers work in the background, so you do not have to sit in the middle of everything yourselves.

The week of your wedding

This week does not need to fill up with new decisions. Calm matters most now.

My advice for these last days:

  • leg alle spullen bij elkaar
  • send the final version of the schedule to the right people
  • geef taken over aan jullie ceremoniemeester
  • check kleding, ringen en papieren
  • plan geen overvolle avonden meer
  • zorg voor eten, water en slaap

The more you can let go this week, the greater the chance that your day truly feels like your day. Then there is room for real moments and I can keep working in the background as your photographer without pulling you out of the experience.

Na de bruiloft

Afterwards there are always a few practical steps that are good not to forget.

Denk aan:

  • spullen terugbrengen of verzamelen
  • bedankjes of berichten sturen
  • documenten of rekeningen afronden
  • herinneringen veilig bewaren
  • foto’s samen rustig terugkijken
  • eventueel plannen voor album of afdrukken bewaren

This phase belongs to the wedding checklist too. Precisely after a full day it is valuable not to let everything disappear into loose folders or forgotten bags. Real moments deserve a calm finish as well.

What couples often forget

Most stress does not come from big choices, but from small things that fall between the cracks. Those are usually exactly the points that become noticeable on the day itself.

Handige checks voor leveranciers en planning

Controleer vooraf of alle leveranciers dit weten:

  • wie het aanspreekpunt is
  • waar en wanneer ze verwacht worden
  • which version of the schedule is leading
  • what they should or should not check with you directly
  • what the back-up plan is for delays or bad weather

That sounds practical, and it is. But it also helps documentary work. The better suppliers are briefed in advance, the fewer interruptions are needed on the day itself.

Useful items for the day itself

Make a separate bag or box for things that may be needed quickly during your day.

Handig om klaar te leggen:

  • ringen
  • geloften of speeches
  • tissues
  • pleisters
  • water en snacks
  • naald en draad
  • extra make-up of haarspelden
  • oplader
  • platte schoenen of comfortabel reservepaar
  • papieren die mee moeten

Do not keep all those items yourselves. Let someone else guard them, so you are not pulled out of the moment again and again.

Mijn advies als documentaire trouwfotograaf

I see the same thing on many wedding days: the loveliest images usually do not appear when everything runs perfectly to schedule, but when there is enough air to be truly present. I work documentary style: I direct nothing and stay in the background.

If you are curious how that works in the preparation too, read my approach to preparing your day.

Plan rust in jullie dag

Do not give every quarter of an hour a function. Transitions take time. People run late. Someone is looking for something. A conversation lasts longer than expected.

If you leave room for that, you notice the atmosphere softening. I see that back in photos too. A calm schedule gives more room for real moments captured documentary style.

If you want to know more about that, also have a look at how I prepare your day in the background.

Kies bewust wie wat opvangt

Make sure not everything lands on your plate. A good master of ceremonies or another fixed point of contact fields questions, keeps the overview and liaises with suppliers.

That helps enormously. Not only for the planning, but also for how you experience the day. When others absorb the organising, I can stay in the background more easily and you have to step out of a moment less often.

What do you put first on a wedding planning checklist?

Start with your date, a rough guest list, the type of day and the suppliers whose diaries fill early. That lays the basis for every next step.

Is een checklist bruiloft pdf handig?

A printable version is handy if you like ticking things off on paper or want to share something with your master of ceremonies. That is why a compact summary on this page is often practical already.

Contact people, final confirmations and practical items for the day itself are often underestimated. It is exactly those details that make the day calmer.
